Laundry POS Kenya — bookings, tags, M-PESA and combined invoices

How Kenyan laundry shops use Bizflow for standard and express bookings, branded item tags, wash-to-pickup tracking, M-PESA Paybill, subscription invoicing and daily collection reports.

Laundry POS Kenya — bookings, tags, M-PESA and combined invoices

Kenyan laundry and dry-cleaning shops run a different rhythm from restaurants or bars. Customers drop bags of mixed garments — formal shirts, trousers, blankets — and expect them back clean on a promised day. Some want express turnaround; others are subscription clients who pay at month-end. Staff need to know which bag is in washing, which is ready, and whether Judy still owes Ksh 800 from last week.

A laundry POS in Kenya should handle that pipeline without paper tags falling off bags or calculators at closing time.

What laundry operators actually need from a POS

Fast intake when the queue is long. During morning drop-off, you cannot tap through ten screens per customer. You need grouped items — shirts, trousers, dresses — quantity, standard or express, print a tag and move on.

Physical tracking on the garment bag. A printed tag with your logo and order reference stays with the items through washing, pressing and pickup. When six bags look identical, the tag is the difference between the right customer and an angry phone call.

Pipeline states, not just "sold". Items move from received → washing → clean → ready for pickup. Managers need counts in each stage before the afternoon rush of collectors.

Payments that match reality. Walk-ins pay cash or M-PESA Paybill upfront. Others pay partial cash and settle later. Subscription clients take items on debt until you invoice them — none of that fits a single "paid" button.

Daily collection reports. At close you need bookings count, total value, cash vs Paybill vs debt — not one blended number that hides what actually landed in the till.

Bizflow is built around this flow, as shown in the laundry POS demo.

Booking: standard, express and branded tags

When you create an order in Bizflow, you choose standard or express turnaround. That distinction lives in the system and on printouts so staff prioritise the right bags.

The system prints a branded item tag automatically — your logo, order details and customer reference. Attach it to the bag. When items move through washing, everyone knows whose formal shirts and dress trousers are in the backpack.

Click an item category to reveal underlying lines. The interface is deliberately simple so new cashiers learn in minutes, not days.

Moving orders through washing to pickup

Laundry is a pipeline business. Bizflow lets you move items between states with one tap — into washing, marked clean, ready for pickup.

When a customer pays part of the bill in cash, the order shows partial payment with the remaining balance visible. Record another payment when they return, or complete the order when everything is collected and paid.

Order history per customer shows past bookings, payment methods and who served them — useful when a regular asks "did I pay for the blankets last time?"

M-PESA Paybill, cash and partial payments

Kenyan laundry customers pay how they pay — not always one method per order.

Record M-PESA Paybill when the client sends from their phone. Record cash for walk-ins. Mix both on the same order when someone pays part upfront.

Receipts and small printouts show the method used so handover at pickup is clear. Thermal printers at 58 mm or 80 mm work with Bizflow; use whatever you already have at the counter.

Subscription clients and combined invoicing

Trusted clients — hotels, corporates, regular households — often take laundry on credit and settle monthly.

In Bizflow, record the payment as debt when the order is ready but not paid immediately. Outstanding invoices appear under customer invoices for that client.

At month-end, select multiple invoices — a long dress from invoice 004, blankets and trousers from another — and generate one combined PDF. It includes your logo, each line item, subtotals, total due and payment instructions. Export, email to the client or save to the device.

When Paybill clears, record the payment against the combined invoice. Outstanding balance drops to zero — clean books without chasing paper slips.

Daily timelines and collection reports

Bizflow shift timelines fit how laundries operate — Monday, Tuesday, Wednesday sheets, or week-one / week-two patterns if that matches your rhythm.

Open a day and see:

  • Bookings for that timeline — count and total value
  • Payments collected — cash, M-PESA Paybill and debt recorded that day
  • Drill-down on each booking — customer, items, who served, payment method and when it was recorded

Periodical sales lets you filter a date range — the whole month, a custom week — with performance segmented clearly.

Cashiers see operational totals; managers with the right role see profit estimates and fuller reports. Roles keep junior staff from changing prices or viewing P&L while still letting them process bookings fast.

P&L and expenses for shop owners

Beyond daily collections, owners need the bigger picture. Bizflow records money in from sales and lets you post expenses — rent, supplies, utilities — so P&L shows money out against revenue and a profit estimate.

That is the same Counter POS engine restaurants use, configured for laundry workflow instead of table service.

Accountability when you are away from the shop

Laundry owners are rarely stuck at the counter all day. Bizflow Counter POS lets you check bookings, collections and payment mix from your phone while staff keep processing bags — the same remote monitoring other hospitality outlets use.

Internet drops should not stop morning intake either; bookings, tags, payments and reports keep working so the queue does not become a paper pile.

Getting started

Start a free trial and run a test week on your own items. Within Nairobi, call 0785 017 308 for same-day installation, receipt branding and staff training. Outside Nairobi, arrangements can be made — and the system can be adapted to match how your laundry shop actually operates.

Laundry POS Kenya is not about forcing restaurant software onto a dry cleaner. It is about tags, pipeline states, M-PESA reconciliation and subscription invoicing in one Counter POS your staff can learn in an afternoon.
